For multifamily and HOA communities

Residents answered at 11 pm. The board sees every job.

Texts and emails about the same leak become one work order, answered in the resident's own language. Guests are let in from the resident's lock screen, packages go out by code, and move days are approved before the truck arrives. The community manager walks into the board meeting with sourced answers.

Daiko runs the building's operations beside your accounting system. It does not collect rent, dues or assessments.

Resident requests

Five texts about one leak become one work order.

Residents text or email the building as they always have. Daiko raises each message as its sender, matches it to the unit and the equipment, folds repeats into the work order that already exists, and answers each resident in their own language. Your maintenance supervisor gets one job, with every report on it, on its own clock.

  • One question, not a phone tag. When a message does not say what or where, Daiko asks once.
  • Life safety goes to a person. A gas smell or a fire alarm is never left to a model's judgment.
  • Each resident sees their own. One household never sees another's requests, visitors or entries.

For the HOA board

Answer the board's question before the meeting ends, with the record attached.

The board sees every job in the community's list, and the resident sees their own request move. Ask the Assistant what the garage gate cost this year or how often the elevators were down, and every sentence of the answer cites the work order or invoice it came from.

Elevators, fire protection and backflow stay on the community's inspection calendar, with the proof sealed as each is met.

How the Assistant answers

Front desk and packages

Guests let in from the resident's lock screen, packages released by code.

The iPhone and Android apps ask the household the moment a guest arrives; whoever answers first decides, and the desk sees the decision. If nobody answers, the fallback the community chose takes over, such as a call to the unit. The desk sees the visitor in front of it, and nothing of the household's history.

Packages
Released by code, not a signature.

A package logged at the desk sends the household a code. Whoever gives it collects, and the record says who, when and which desk.

Invite ahead
The desk already knows them.

A resident shares a link or a pass, and the guest is expected.

Network down
Expected guests still get in.

Move days, passes and vendors

Vendors on association property
No uninsured vendor on site.

Vendors keep their certificates current in one place. Daiko warns before one expires and turns away a vendor whose document has lapsed.

Garage gate
The gate opens while the plate holds a live permission.

Residents' cars, a guest's car for the evening, the movers' truck for four hours. When the permission ends, so does the gate.

Household staff, keys and fobs

A housekeeper working for three units is let in on each unit's schedule, and each household sees attendance at its own unit only. Keys, fobs and a contractor's tools are issued against a named person, and what is not back when it should be shows as overdue.

Inspections

Every inspection the building owes, on one calendar with its proof.

The compliance agent reminds whoever has the job a week and a day ahead, raises the job as a draft when none exists, and seals the report and photos into a pack the board or an inspector can read through a link that expires. Which inspections apply is for the board and its advisers to confirm; Daiko keeps them on time and keeps the proof.

Residents join by code

A code gets you to the door. The unit lets you in.

  1. 1
    Management shares one community code

Up to 500 uses and 90 days. It is kept as a hash and shown once, and by itself it admits nobody.

  2. 2
    The resident names their unit

By its number, or its building and number where two buildings share one.

  3. 3
    Someone living there decides

When nobody lives there yet, management does. A decline says why, and each request is answered once.

Or load the whole community from one sheet: building, unit, name, email or mobile, owner or tenant. Units and households are made as needed, and loading it twice makes nothing twice.

Nine languages

The desk, the resident and the maintenance tech, each in their own.

Chosen on each phone or tablet in one tap. The front desk reads English while the household answers in Spanish; the record is the same. Where the community switches on translation, what residents type reaches staff in their language, with the original kept beneath.

We will set up one building with its units, its front desk and its languages, so the board can see requests and guests handled before the community decides.
